If you see a Power BI report that you want to download from Power BI Service, there is a simple way to do so. The prerequisite is that you must be at least a contributor in the workspace where the report is located in. To read more information on workspace, please click here.
This article shows the step-by-step instruction of how to download the Power BI file and explains the two downloading options available.
How to download the Power BI report from Power BI Service as a Power BI file (pbix)
- Go to the workspace where the report is located in. Click on the report that you want to download
- On the left side of the ribbon, click on File > Download this file
- Then Power BI will give you two types of downloading options, choose your desired option, then click Download. The following section explains the difference between the two options.
Difference between the two downloading options
Option 1: "A copy of your report and data(.pbix)”
This option lets you download the file with its original connection type (import, direct query, or live). In other words, this option allows you to download the file as how it was built.
After you download the file, go to Transform data > Data source settings
You will be able to see the data source of the report. In this case, it is the Training database from uskibpw2 server.
It is worthy to note that in the report downloaded after selection option 1, you will be able to use Power query and data view if the original data source allows you to.
Option 2: "A copy of your report with a live connection to data online(.pbix)”
This option lets you download the file with live connection to the Power BI dataset only.
After you download the file, go to Transform data > Data source settings.
The data hub window will pop up. The data hub includes all Power BI datasets which are available to you across from all the workspaces you have access to.
It’s important to note that this downloading option will not be able to access data view nor power query since it is a live connection.
Getting access to the workspace
As mentioned above, you must be a part of the workspace of the report to be able to download the Power BI file. To check if you are a part of the workspace, click on the Workspace icon on the navigation pane of Power BI Service and search for the app name that the report belongs to.
If nothing comes up, please reach out to the app publisher and ask to be added to the workspace. If you find the workspace, it means that you already have access to the workspace.
